Stonegate by AFX accepts orders in writing only by email, fax, or postal service. To avoid discrepancies, verbal orders will not be accepted. All terms and conditions listed in this document are fully accepted by the customer upon ordering.

To avoid delays in processing, buyers (retailers, designers and representatives) must submit a complete order with part numbers, fabric choices, finish selections, and quantities. Fabric and finish options are listed by product and collection on the Stonegate by AFX website and catalog.

How to Build a Part Number:

Step 1: Select your Design:
For example, indicate SPRSP06MB for the 36” Paris Round pendant.

Step 2: Choose your FINISH:
For example, indicate PN for the polished nickel finish.

Step 3: Pick your FABRIC:
For example, Indicate the fabric type 203 (Black Silk Dupioni). If using customers own material, indicate  COM as the fabric choice. (AFX must verify the workability of all COM fabrics prior to placing an order).  Note: Changing the fabric from the standard family offering will result in a nominal up charge.

Step 4: Additional options:
For additional options such as wood, liner or tassel (if applicable), indicate with appropriate suffix.

Pendants that utilize stems come standard with a 36” stem kit. (1 ea.) 6”, 12” & 18” stem.
All fixtures come with medium base sockets unless otherwise noted.

Backorders are shipped as soon as possible unless we receive a written cancellation. Every effort is made to notify customers if an issue arises that could result in a backorder.

Stonegate ALWAYS sends an order confirmation. If the buyer does not receive an order confirmation within 2 business days, it is the buyer’s responsibility to advise Stonegate. It is the buyer’s responsibility to verify all details are correct on the order confirmation, in particular: part #, fabric, finish, size, quantity, price, destination, and delivery date.

Any modification or cancellation requests against confirmed orders must be emailed or faxed within 3 (three) business days from receipt of the order confirmation by the buyer. Stonegate does not accept responsibility for any possible inaccuracies not addressed in writing within 3 business days. 

Product cannot be returned or the order canceled for inaccuracies not registered by the buyer within 3 business days of receipt of the order confirmation.

Stonegate does not accept order cancellations after 3 business days. In very special cases, should Stonegate authorize a cancellation, the buyer will have to pay a penalty corresponding to a 50% restocking fee of the cancelled goods. Cancellations are only valid if accepted in writing by Stonegate Designs.

Payments are due according to terms specified on order confirmation. All payments should be made directly to:

Net 30 terms are available for pre-approved consumer retail accounts. Payments are due within 30 days from date of invoice. A service charge of 1.5% per month will be added to unpaid balances.

Stonegate by AFX accepts 100% payment in the form of credit card or check. Production of product will not begin until the full 100% payment is received.

Proforma Terms are available for pre-approved commercial hospitality accounts. Production of product will not begin until the first 50% payment is received.
Stonegate reserves the right to suspend orders for an account if unpaid balances exist. Non compliance of the conditions listed will be considered by Stonegate as reasons to terminate the business relation.

Pricing is subject to change without prior notification.

Shipping and Freight
All shipping and freight charges are the responsibility of the buyer. Freight (truck or air) shipments are charged on a separate bill upon shipment. It is the buyer’s responsibility to provide accurate shipping instructions. Unless shipping instructions are specified on the purchase order, Stonegate will ship by the most economical means possible. No refunds will be issued if a cheaper shipping method was available. 

Crating Charges and Crate Volume
Crating charges will be added to the invoices. It is the purchaser’s responsibility to confirm that the volume of the shipment will fit through all entryways.

Stonegate reserves the right to make partial shipments of the ordered items.

On receipt of the order, the buyer or addressee must carefully check that the packaging and product have arrived in good condition prior to signing the shipping bill. Should packaging arrive damaged, the addressee must accept the shipment with “a reservation” and give immediate information to Stonegate by AFX and/or to the forwarding agent. All damaged packaging must be kept, as is, for a possible check or inspection by the forwarding agent. Claims for shortage or damages must be made within three (3) business days after receipt of product delivered.

It is the buyer’s responsibility to verify that the volume of the shipment ordered will fit all entryways and space where it will be received and stored.

The buyer must collect ordered product or agree to the shipment of the goods within 7 days of the availability notification.

The delivery date provided by Stonegate by AFX is considered approximate and not binding. The agreed delivery date is not guaranteed. Any possible delay caused by unavoidable acts or by any inefficiency of the transportation service cannot justify a claim or order cancellation. Fixed delivery dates must be pre-agreed in advance with Stonegate. Stonegate recommends to schedule electricians and installers after goods are delivered and in the buyer’s possession.

If the buyer, due to any reason, refuses to collect their order or refuses to take delivery and/or Stonegate by AFX is not in a position to deliver goods within the established delivery date due to lack of information concerning the shipment (documents, licenses, authorizations etc) the buyer takes all the risks for the product (including its loss and damage). In case of failure to collect or refusal to accept delivery, Stonegate reserves the right to charge the buyer with all costs concerning the storage and the insurance. Orders not collected will accrue a storage charge of $100 per week past the agreed delivery date.

Returned product will not be accepted without a Return Merchandise Authorization (RMA) Number issued by Stonegate by AFX. The RMA Number must be listed on the outside of each carton. To request an RMA Number, contact Stonegate by AFX at 847.249.5970. 

Non-damaged product must be returned WITHIN 30 DAYS of receipt. Merchandise received past 30-days will be refused. Returned product must ship back to Stonegate Designs, appropriately boxed, in its original packing to avoid damage. A 50% re-stocking fee will be accessed on nondamaged goods. Returned product shipping charges are the buyer’s responsibility.

Product Details
Request of custom sizes, if accepted, are confirmed in writing by Stonegate by AFX. Additional charges for engineering drawings and materials will apply. Custom pieces cannot be cancelled.

Stonegate by AFX offers a variety of man-made and natural fibers; each selection is based on a variety of characteristics including texture, light fastness, color fastness, workability, color options, etc. Natural fibers, such as silk dupioni, silk shantung, China silk, raw silk, silk pongee, and textured silk will have natural irregularities that are visible to the naked eye. Silk worm threads and slubs in the final weave are normal and natural; they are not imperfections, but merely a characteristic of the fiber, which illustrates the origin of the fabric. Fabric dye lots may change and are not guaranteed to match if items are ordered at separate times. 

Stonegate by AFX selects each wood for its unique characteristics; including variances in color, tone, and texture, which are acceptable and not considered a flaw. Size and shape of knots, mineral streaks, or unique grain patterns may cause slight color variations, including light and/or dark spots; all are normal and not considered defects.

Metal finish and glass colors may vary slightly due to the uniqueness of each piece.

Stonegate by AFX warrants its products to be free of defects in materials and workmanship for one year from date of delivery. Stonegate at its sole option will repair or replace any product defective in materials and workmanship. Modification made to a Stonegate product not made in the factory will void the Stonegate warranty.

Most lighting from Stonegate by AFX is UL and CUL approved. Changes or modification made to a Stonegate product not made in the factory will void the UL or CUL Listing.

All use of the “Stonegate by AFX“ trademark for advertising purposes through all media (television, radio, press, internet sites or other) or communication purpose (catalogues, brochures, panels etc) requires prior written authorization from Stonegate by AFX.

All use of Stonegate by AFX products images for any purpose is strictly forbidden including the use for selling online, if not previously authorized in writing by Stonegate. Every authorization is given only for the requested purpose.

Product supplied shall be sold only by the Buyer at the location of the SHIP TO address. No transshipping is allowed. A breach of the above policy shall entitle Stonegate by AFX, at its discretion, to discontinue shipments to the Buyer.

For online sales, buyers are required to complete, acknowledge, and apply all terms listed in the Stonegate by AFX AUTHORIZED INTERNET RETAILER AGREEMENT.
